What is an invoice and how does it differ from a factura?

An invoice is the bill you send your client in the United States: what you did, what it costs and when you expect payment. It carries no government stamp — unlike the Mexican factura (CFDI), here the document is valid with your business details, your client details and the breakdown of the work.

That confuses many owners coming from Mexico: over there an unstamped invoice is worthless, here stamping does not exist. What matters is that the invoice is clear, numbered and carries payment terms, because it is the document you collect with — and claim with, if it comes to that.

What it must include

Your business details, your client details, a sequential invoice number, the date, each line item with quantity and price, the total and when payment is due.

Number them in order

Use a sequential series (1001, 1002, 1003). It helps your bookkeeping, your taxes, and knowing what you are owed without digging through folders.

Set payment terms

“Net 15” or “Net 30” means the client has 15 or 30 days to pay. Writing it down avoids the awkward conversation later.

Keep a copy of every one

The IRS may ask you to back up your income. One PDF per invoice, sorted by number and year, saves you the trouble.
