Estimate basics
What is an estimate?
An estimate is the document you send before doing the work: what you will do, what it should cost and until when that price holds. It is not a bill; the invoice comes after the job.
Estimate, quote or bid?
In everyday use they overlap. A quote usually means a firm price; an estimate is your best calculation and can change if the scope changes; a bid is what you submit to compete for a job. Say clearly in the scope what is and isn’t included.
What should an estimate include?
Your business and client details, a number, the date, how long it is valid, the scope of work, each line item with quantity and rate, the estimated total and a place for the client to sign and accept.
How do I turn it into an invoice?
When the job is done, press “Turn into an invoice”: the client and line items carry over, the invoice references the estimate number and you only adjust what changed.
Does the tool calculate sales tax?
No. You enter the amount after checking your city’s rate in the official Texas Comptroller rate locator. Confirm the rate and what is taxable with your CPA.
What if instead of a template you had a system?
This tool gets you through today. If you quote and invoice often, track inventory or have people collecting for you, a system that numbers itself, turns the estimate into an invoice and tells you who owes you makes more sense.
